System Reports

System Reports can be used to view and export data relating to a user’s experience within Simon.


To access this module, log in to the Control Panel from the Simon home page located at https://.exphub.com.au/manager. Navigate to the Reporting menu and click to expand. Finally, select “System Reports”.


There are currently three categories of System Reports available:

  • User Reports - Export statistics related to a user's Simon profile, such as creation date and branch allocation.
  • Experience Reports - Export statistics related to a user's experiences within Simon such as completion status, delivery date and completion date.
  • Document Reports - Export statistics related to expiry dates of documents uploaded by administrators. For more information about document expiry dates, please refer to the Employee Files guide.



Running a System Report

The process to run these reports is the same regardless of which type or report you are running. Below are instructions on how to run the report:


1. Select the date range you would like included in the report. For user reports, this relates to the date that the user profile was created. For experience reports, this relates to the date that the experience was either delivered to the user or completed by the user (depending on which report has been selected). For document reports, this relates to the expiry dates of the documents.

2a. For user and experience reports, expand the list next to the "by" text to filter users by the administrator(s) who created them (for user reports) or by the administrator(s) who delivered the experience (for experience reports). If you don't want to filter the report by administrator, select the "ALL" option.

2b. For Document Expiry Dates document reports, go straight to step 3 below. For Expiry dates by file category document reports, expand the list next to the "by" text to filter documents by File Categories. If you want to see all uploaded documents (including those without File Categories attached to them), you don't need to select anything in this field. 3. Click the "View Data" button to view all users that match the selected filters and their relevant data in the table.

4. To export the table data as a .csv file, click the export icon ().

5. To clear the filters, click the clear filter icon ().



User Report field definitions


Field Name
Description
Employee ID The Simon user ID for the user.
Username The username that has been configured for the user.
Fname

The user's first name.

Lname

The user's last name.

Creation Date
The date the user's profile was created.
Created By
The username of the administrator who created the user’s profile.
Last Updated
The date the user’s profile was last updated.
Last Updated By
The username of the administrator who last updated the user’s profile.
Exp Count
The total number of experiences that have been delivered to the user.
Branch
The branch the user is currently a member of.


Note – User information from Custom Fields and/or Form Fields can’t be exported using a System Report. If you need to export user information from Custom Fields and/or Form Fields, you’ll need to create an Export Report. For more information, please refer to the  Custom Settings – Export Settings guide.



Experience Report field definitions


Field Name
Description
Experience ID The Experience ID assigned to the experience.
User ID The Simon user ID for the user.
Name

The name of the user the experience is related to.

Branch

The branch the user was a member of at the time of the experience being delivered.

Experience Category

The experience category/categories assigned to the experience.

Documents
Denotes whether the Document Acceptance element was included as part of the experience.
Forms
Denotes whether the Forms element was included as part of the experience.
Checklist
Denotes whether the Checklists element was included as part of the experience.
Content
Denotes whether the General Content element was included as part of the experience.
Delivery Status
The Delivery Status of the experience. For more information about the Delivery Status, please refer to the My Experiences guide.
Completion Status
The Completion Status of the experience. For more information about the Completion Status, please refer to the My Experiences guide.
Delivered on
The date and time the experience was delivered to the user.
Completed on
The date and time the experience was completed by the user. If this field is blank, the experience has not yet been completed.
Delivered by
The username of the administrator who delivered the experience.


Note – This report will not specify whether or not an element was included in an experience. To check if an element was included, you’ll need to check in My Experiences. For more information, please refer to the My Experiences guide.



Document Report (Document Expiry Dates) field definitions


Field Name
Description
Employee ID The Simon user ID for the user.
Username The username that has been configured for the user.
Fname

The user's first name.

Lname

The user's last name.

Document Label

The name of the relevant document. Note - If the document has been renamed by an administrator, this is the name that will display. If a document hasn’t been renamed, the raw filename of the document will be displayed. For more information about renaming documents, please refer to the Employee Files guide.

Expiry Date The date the document is due to expire.


Note – Only documents that have an expiry date attached to them will appear in this report.



Document Report (Expiry dates by file category) field definitions


Field Name
Description
File category The File Category or Categories assigned to the document. If no categories have been assigned, this will be blank.
Employee ID The Simon user ID for the user.
Username The username that has been configured for the user.
Fname

The user's first name.

Lname

The user's last name.

Document Label

The name of the relevant document. Note - If the document has been renamed by an administrator, this is the name that will display. If a document hasn’t been renamed, the raw filename of the document will be displayed. For more information about renaming documents, please refer to the Employee Files guide.

Expiry Date The date the document is due to expire.
