Editor Tool Instructions (Toggle Editor) including uploading images, files and hyperlinks

The Editor Tool is the function that allows administrators to format text and images in various modules across the platform, including Checklists, Notifications and Document Templates just to name a few.


The Editor Tool has two editing modes – a simplified editing mode (which looks and behaves like Microsoft Word) and a code editing mode (called Source mode). The Source mode should be used when the HTML coding of the section you are editing needs to be changed. We also recommend using the Source code when duplicating so that all formatting will remain the same.


To understand the function of each icon in the editor toolbar, hover your mouse over the icon in the Editor. Some commonly used icons are:

Checks the spelling of the text.

Format copy

Copies the format (including font, text size and colours) to another block of text.

Link

Adds a hyperlink to a file or URL.

Enlarge
Enlarges the editor tool to full screen.
Image
Inserts an image.
Source
Directs you to Source mode to edit or copy the HTML code.



Inserting an image from the Image Gallery

To insert an image from the Image Gallery, you will first need to upload it into the Image Gallery module. For more information on this, please refer to the Image Gallery guide.


After the image has been uploaded, follow the below steps:


1. Make sure your cursor is in the position you would like the image to be inserted.

2. Click on the image icon on the toolbar (see table above for icon).

3. Navigate to the Image Info tab and click Browse Server. This will open your Image Gallery library.

4. Select the image you would like to insert.

5. The image will load with the dimensions of the original image. To change the size of the image, adjust the Width and/or Height. A preview of the image will sit to the right of this section. Tip – Clicking the Lock icon () will lock the aspect ratio so that your image does not end up skewed. We recommend using this option.

6. Click OK. The image will now be inserted into your Editor Tool.



Inserting and uploading an image directly from the Editor Tool

To upload and insert an image directly from the Editor Tool (i.e. without separately navigating to the Image Gallery), follow the below steps:


1. Make sure your cursor is in the position you would like the image to be inserted.

2. Click on the image icon on the toolbar (see table above for icon).

3. Navigate to the Upload tab and click the “Choose file” button.

4. Select the image from your PC and click OK. Note – Images must be in a .jpg, .jpeg or .png format.

5. Click the “Send it to the server” button. This will upload the image to your Image Gallery.

6. Navigate back to the Image Info tab.

7. The image will load with the dimensions of the original image. To change the size of the image, adjust the Width and/or Height. A preview of the image will sit to the right of this section. Tip – Clicking the Lock icon () will lock the aspect ratio so that your image does not end up skewed. We recommend using this option.

8. Click OK. The image will now be inserted into your Editor Tool and will be added to your Image Gallery.



Editing an image

To edit an image that has been inserted, double click the image, or right click on the image and select Image Properties. When the popup window appears, follow the above instructions for Inserting an image from the Image Gallery or Inserting and uploading an image directly from the Editor Tool.

Creating hyperlinks

Hyperlinks can be inserted throughout the platform to URLs or documents that form part of the File Gallery. The instructions below pertain to both hyperlinking text and images.


To create a hyperlink to a URL, follow the below instructions:


1. Highlight the text or click on the image you would like to hyperlink.

2. Click the hyperlink icon on the toolbar (see table above for icon).

3. In the Link Info tab, type or paste the URL that you would like to link to in the URL field. If you are linking to an e-mail address, select “Other” from the dropdown list under Protocol and type mailto: before the e-mail address (for example, mailto:help@thinksimon.com.au).

4. Navigate to the Target tab and select “New Window (_blank)” from the dropdown list. This will ensure the link opens in a new browser window. Note – This step is particularly important when configuring Checklist Items.

5. Click OK. The hyperlink will now be created.


To create a hyperlink to a document in the File Gallery, you will first need to ensure the file has been uploaded to your File Gallery. For more information on this, please refer to the File Gallery guide then follow the below instructions:


1. Highlight the text or click on the image you would like to hyperlink.

2. Click the hyperlink icon on the toolbar (see table above for icon).

3. In the Link Info tab, click Browse Server. This will open your File Gallery library.

4. Select the file you would like to link to.

5. Navigate to the Target tab and select “New Window (_blank)” from the dropdown list. This will ensure the link opens in a new browser window. Note – This step is particularly important when configuring Checklist Items.

6. Click OK. The hyperlink will now be created.


To create a hyperlink to a document directly from the Editor Tool (i.e. without separately navigating to the File Gallery), follow the below instructions:


1. Highlight the text or click on the image you would like to hyperlink.

2. Click the hyperlink icon on the toolbar (see table above for icon).

3. Navigate to the Upload tab and click the “Choose file” button.

4. Select the file from your PC and click OK. Note – Images must be in a .pdf format.

5. Click the “Send it to the server” button. This will upload the image to your File Gallery.

Editing a hyperlink

To edit a hyperlink, highlight the text or click on the image that has been linked and click the hyperlink icon on the toolbar. Then follow the relevant steps above to edit the hyperlink.


Tip – After creating or editing a hyperlink, consider testing the link using the Proxy As Employee function. For more information, please refer to the Proxy As Employee guide.
