Verification Questions

Verification Questions are the questions that a user must answer to accept the Documents that are assigned to them when a Document Acceptance element is included in an experience. The answers that the user must input are configured when delivering the experience in the Document Acceptance module on the Deliver An Experience screen. The verification questions and answers will also appear on the Employment Documents Transmission Report in the Experience Documentation popup. For more information about this, please refer to the My Experiences guide.


A minimum of one question must be configured. There is no limit to the number of questions you can configure, although we recommend configuring 3 questions.


Tip: If you will be utilising the Bulk Delivery feature, each Verification Question will need a corresponding Custom Field to be mapped to. For more information about Bulk Delivery, please refer to the Deliver an Experience guide. To access this module, log in to the Control Panel from the Simon home page located at https://<yoursubdomain>.exphub.com.au/manager. Navigate to the Global Site Configuration menu and click to expand. Click Custom settings, and finally Verification Questions.



Creating a new Verification Question

To create a new Verification Question, navigate to Global Site Configuration > Custom Settings > Verification Questions > Add New Question and follow the below steps:


1. Type the question in the Question Label Name. The question will appear to the user in the exact format you type it, so it is important to make sure you are comfortable with the wording. Do not include a “?” at the end of the question – this will be automatically added in by the system.


2. Create a parameter for the question in the Question Name field. This parameter can then be referenced throughout the system. We recommend adding a “ver” at the beginning of the parameter, for example ver_fullname, to indicate that the parameter relates to a Verification Question. For more information about referencing parameters, please refer to the How to use parameters to customise your message guide. This parameter must be unique.


3. Select the Question Type from the dropdown list. Questions can be either Text Type (the administrator creating the user and the user themselves will need to type the answer) or Date Picker Type (the administrator creating the user and the user themselves will need to select the answer from a calendar).


4. After all fields have been completed, press the Submit button to save.


Important Note 1 – When selecting verification questions, be sure that the answers to the questions are contained in the Document(s) that the user will be accepting.


Important Note 2 – The addition of a verification question is instant. As soon as a Verification Question is configured, it will become a required field when a Document Acceptance element is included in an experience. If you do not want the question to become immediately available, consider changing it to Inactive immediately after creating it. Editing a Verification Question

To edit a Verification Question, navigate to Global Site Configuration > Custom Settings > Verification Questions > All Questions. You will then be presented with a list of all configured Verification Questions in your platform.

ID The system generated identification number given to the Verification Question.
This ID number is a system generated field only.
Question The question that has been configured.

This is the question exactly as the administrator will see it when delivering a Document Acceptance element in an experience, and exactly as the user will see it when completing their Document Acceptance element.

Type

Displays whether the Question has been configured as a Free Text or Date Picker Label Type.

Status Shows whether the Verification Question is Active (visible to administrators and users) or Inactive (not visible to administrators and users).

To change a Verification Question to Active or Inactive, click the Status button.

 

Important – As soon as a Verification Question is made inactive, it will no longer appear for the administrator or the user. Check to make sure there are no outstanding Document Acceptance elements for any users before making a Verification Question inactive. Last Updated/Last Updated By – The Last Updated and Last Updated By columns show the date and time the Verification Question was last edited and which administrator made the edit.
The time displayed will be in your organisation's configured timezone.

We recommend making a Verification Question inactive rather than deleting. If a Verification Question is deleted, it cannot be retrieved.

 

As soon as a Verification Question is deleted, it will no longer appear for the administrator or the user. Check to make sure there are no outstanding Document Acceptance elements for any users before deleting a Verification Question. For more information on checking the completion status of elements, please refer to the My Experiences guide.


To edit a Verification Question, select Edit from the Actions menu next to the relevant question. You will then be presented with a screen identical to the Create Question screen. For more information about these fields, please refer to the Creating a new Verification Question guide.


Important – Any changes you make to a Verification Question will be visible to administrators and users in the Document Acceptance element immediately.
